Terms and Conditions

Sunspire Cafe – Booking Terms & Conditions

Effective as of 12/17/25

Thank you for considering Sunspire Café for your event! We are a small, family-run business, and these terms help protect our time, energy, and equipment while ensuring we can serve each client with care and attention.


A Note of Appreciation

We sincerely appreciate all inquiries and the opportunity to serve you. As a small, family-run business, your understanding and support mean the world to us, and we do our best to accommodate each event safely and professionally.


 Booking & Payment Terms

  • A non-refundable deposit of 50% of the total event fee is required upon booking (after consultation and final quote).
     
  • Quotes are valid for 48 hours. To secure your event date, the deposit must be submitted within this timeframe. After 48 hours, the quote and date are no longer guaranteed.
     
  • Payment to book the event must be made within 24 hours of signing the final agreement.
     
  • For private events, we ask for at least 3–4 weeks’ notice prior to the event date when submitting a booking request.
     
  • The remaining 50% balance is due no later than 1 week before the scheduled event.
     
  • Clients may choose to pay in full upfront if preferred.
     

 Cancellations & Refunds

  • Cancellations made 7 or more days before the event will receive a refund of the remaining 50% balance. The deposit remains non-refundable.
     
  • Cancellations made within 7 days of the event are not eligible for a refund, as the date is reserved exclusively for your event.
     
  • Please note: If venue or access issues are not disclosed at the time of booking, signing, or payment, and these issues prevent us from safely providing our services, Sunspire Café reserves the right to retain up to 20% of the total booking fee to cover preparation, time, and planning costs.
     

 Venue Access & Safety

  • The safety of our staff and equipment is our top priority. Events located on upper floors require elevator access or prior written approval from Sunspire Café.
     
  • Clients must ensure safe, accessible conditions for setup, including:
     
    • A flat, stable surface for the mobile espresso bar and equipment
       
    • Access to a standard electrical outlet for operation
       
    • Clear paths for transporting equipment to the setup area
       
  • Stair-only access or other venue conditions that pose a risk to staff, guests, or equipment may require us to cancel the booking for safety reasons.
     
  • It is the client’s responsibility to disclose all venue details (floor level, stairs, outlet availability, load-in restrictions, or other access challenges) at the time of booking, signing, and payment.
     
  • Sunspire Café strives to accommodate a variety of venues whenever possible, but we reserve the right to cancel if conditions make safe setup and breakdown impossible.
     

 Weather & Emergency Rescheduling

  • In the event of severe weather or emergencies that prevent safe operation, we will offer to reschedule your event or provide a credit toward a future date.
     
  • Sunspire Café is not responsible for cancellations due to venue-related or client-related issues beyond our control.
     

 Arrival & Setup

  • We will arrive approximately 60-90 minutes prior to the scheduled event start time for setup.
     
  • Clients are responsible for ensuring the space is accessible, clear, and suitable for our mobile espresso bar setup.
     

Additional Policies

  • Your event date is not confirmed until the deposit is received and confirmation is sent.
     
  • Changes to event details (time, location, access, or headcount) must be communicated at least 72 hours in advance.
     
  • Sunspire Café reserves the right to decline or cancel bookings if safety, weather, or event conditions may put staff, guests, or equipment at risk.
     

✅ Agreement Acknowledgment

By submitting a booking request through our website or any official channel, you confirm that you have read and agree to Sunspire Café’s Booking Terms & Conditions, including payment policy, cancellation guidelines, venue and safety expectations.

  • A 50% non-refundable deposit is required to reserve your event date.
     
  • The remaining balance is due no later than 1 week before the event.
     
  • Bookings canceled within 7 days of the event are not eligible for a refund.
     
  • Important: If access or venue issues are not disclosed and prevent safe setup, Sunspire Café reserves the right to retain up to 20% of the total booking fee.
     

Your booking is not officially confirmed until we have received your deposit and sent you a confirmation email.

 At Sunspire Cafe, your privacy matters. This policy explains how we collect and use your information when you interact with our website.

  • Your name, email, and event details if you fill out a contact or booking form
  • Any messages you send us directly
     

We do not collect payment info on this site.

We do not sell or share your info with third-party marketers.
