Sunspire Cafe – Booking Terms & Conditions

Effective as of 8/13/25

Thank you for considering Sunspire Cafe for your event! We are a small, family-run business and these terms help us protect our time, energy, and ability to serve each of our clients with love and care.

• A non-refundable deposit of 50% of the total event fee is required upon booking (after consultation and final quote).
   
• Quotes are valid for 48 hours. To secure your event date, the deposit must be submitted within this timeframe. After 48 hours, the quote is no longer guaranteed and the date may be released.

• Payment to book event must be made within 24 hrs upon signing final agreement
   
• For private events, we ask for at least 3–4 weeks’ notice before the event date when submitting a booking request.
   
• The remaining 50% balance is due no later than 1 week before the scheduled event.
   
• You may also choose to pay in full upfront if preferred.
   

• Cancellations made 7 or more days before the event will receive a refund of the remaining 50% (the deposit remains non-refundable).
   
• Cancellations made within 7 days of the event are not eligible for a refund, as we reserve this time specifically for your event and decline other bookings accordingly.
   

• In case of severe weather or an emergency that prevents us from operating safely, we will offer to reschedule your event or provide a credit toward a future date.
   
• We are not responsible for cancellations due to venue or client-related issues beyond our control.
   

• We will arrive approximately 60 minutes before your event start time to set up.
   
• Please ensure the space is accessible and clear for our mobile cart.
   

• Your event date is not confirmed until the deposit is received.
   
• Changes to event details (such as time, location, or headcount) must be communicated to us at least 72 hours in advance.
   
• We reserve the right to decline or cancel bookings in cases where safety, weather, or event conditions may put our staff or equipment at risk.
   

By submitting a booking request through our website or any official channel, you confirm that you have read and agree to Sunspire Cafe’s Booking Terms & Conditions. This includes our payment policy, cancellation guidelines, and event expectations.

Please note: A 50% non-refundable deposit is required to reserve your event date. The remaining balance is due no later than 1 week before your event.

Bookings canceled within 7 days of the event are not eligible for a refund.

Your booking is not officially confirmed until we’ve received your deposit and sent you a confirmation email.
